Medcare Hospitals and Medical Centres Dubai is hiring an experienced and passionate Unit In Charge to join the team.
The position incumbent is responsible for smooth functioning (operations & administration) of the assigned units/. This role would also play a crucial part in the strategy formulation planning, development & expansion of the assigned units.
Main Responsibilities (KRAs);
Responsible for the day to day registrations, referral, insurance, financial and or any other services related to patients.
Controls and monitors the billing and insurance processes of the unit and ensures that insurance dispatch is carried out as per the agreed policies and protocols.
Take initiatives to reduce the patient waiting time and smooth flow of patients through various departments.
Responsible to minimize the wastage and ensure effective utilization of resources
Ensure monthly execution of Quality audits.
Responds to and follows up patients' needs, requests and concerns as appropriate; investigate and/or channel complaints or problems to immediate head; assists in resolving conflicts and act as an intermediary between patients, families and staff.
Monitor delivery of patient services to include reviewing physician activity data and forecast and prepare for all changes needed or impacted by patient load, billing/collecting procedures, and government regulations and policies.
Monitors and make recommendation to supervisor regarding patients lead time, gender mix, nationality mix and patients enquiries.
Makes daily and as required inspection rounds in the unit to ensure all department/doctors requirements are present and efficient.
Performs monthly inspection rounds to all medical/general equipment/items installed and or supplied to the unit, ensures suitable maintenance is followed to prolong the life of the items and to preserve their original asset condition.
Ensures unit working hours are covered with adequate staff, suggests recruitment requirements whenever needed
Maintains optimum consumable stock levels with strict expiry management
Oversees the work performance of all staff, monitoring of staff attendance, presentation, and related medical/general knowledge, completion of online monthly duty rota including own, approval of leave applications and handling all staff related issues
Suggests, implements approved staff performance enhancing initiatives/training to obtain maximum staff performance/output while ensuring proper time management and cost reduction methods are applied whenever possible.
Conducts a staff weekly meeting and updates immediate head on the subject and the outcome of the meeting
Interacts with unit doctors on a daily basis, ensuring their requirements are attended to promptly provided practicality, feasibility and immediate head approvals are ascertained
Maintains and monitors the attendance of the unit doctors, coordinates their monthly management meeting and their weekly meeting with immediate head
Coordinate to implements suitable operational KPIs to monitor the operational/work performance efficiency of the unit.
Acts as a liaison with Hospital HODs and team members to assure optimum operational requirements are achieved in a timely manner.
Adherence to Standards and procedures.
Ensure that all operational protocols and standards are implemented and followed in all the units assigned.
Ensure strict adherence to the SOP.
Ensure that all valid statutory documents are maintained in the respective unit.
Ensure that all the units are maintained well complying with the infection control protocols etc.
Maintains on-site Medical Records administration and ensures that all local and hospital regulations governing the release of information are followed.
Manage cost & optimize profit and achieve Gross Profit and EBIDTA allocated. Analyze variances & initiate appropriate action plans.
Overall responsibility in implementation of various cost reduction measures thereby directly contributing to the budgeted bottom line.
Monitor the business performance of the clinic (Revenue & Cost) against the budget and ensure that the targets under various heads are met with.
Co-ordinate with HR department in manpower planning, recruitment, reward & recognition, performance appraisals & talent planning.
Prepare and send the periodical MIS report to the management on weekly and monthly basis.
Review the performance of the unit and initiate necessary business development activities.
Identify new business opportunities, both internally and externally, and use all the means and methods available to popularize the brand and expand the network.
Support the management through research on local market conditions, competitors activities and events affecting the business.
Coordinate to implements approved Business Development initiatives in the unit and the surrounding community, individually or in association with the marketing team.
Focus on internal marketing to promote the services, specialties and doctors of each of the specialties
Identify internal sales opportunities like health packages and train the staff to promote it.
Explore the possibilities of “department line” expansion. Ex: starting new departments, getting doctors on visit etc.
Safety and Hygiene:- Aim at Controlled Audited, Safe Operational Environment”
Coordinate to ensure highest standards of hygiene and infection control are maintained at the unit, applies JCIA standards as and when appropriate.
Coordinate with Area Managers and with local authority bodies, local suppliers and MCH departments for legal documents, hygienic and safety requirements.
Assist to conduct regular safety inspection rounds at the unit & educate self, team and doctors on the infection control and safety requirements.
Coordinate to apply suitable KPIs to monitor the patient/unit safety, infection control and uses analytical tools and feedback to ensure a controlled safe environment is maintained at all times.
Monitor that all the staff members are following the grooming protocols.
Monitor that all the units are maintained well with proper lighting, display and merchandizing.
Monitor that all the products have high quality and longest possible shelf life.
Monitor that all the customers are provided with all necessary details regarding medication
Monitor dust & hazard free environment in the assigned pharmacies
Training & Development
Conduct periodic orientation and training for all staff about the processes and protocols.
Establish a system to track and monitor the training and development of the team under you.
Suggest the methods and implement the same to maintain high morale values among the team and to unite them with strong team spirit.
Identify future prospects and initiate measures to nurture them.
Identify under performers and take effective measures to improve the performance by means of training and orientation.
To maintain Integrity, Professionalism and Efficiency and demonstrate team spirit among the team members.
Demonstrates, juniors and seniors. appropriate manners, presentation and behavior suitable for the post with doctors, colleagues.
Exhibits promptness both in general attendance and task execution and shows flexibility in working hours, applies practicality in approach with reasonable commercial thinking and a balanced EQ to meet the needs of the unit.
